Taking a payment at Checkout
Updated
On this page
Sidebar: Checkout. The page is titled Point of Sale and is built for quick walk-in sales — a bag of food, a nail trim, a gift card.
Building the cart
The left panel has three tabs:
- Products — your active retail products. Tiles show the price and a red low-stock line when relevant, and you cannot add more than you have in stock.
- Services — active services, with duration and price.
- Custom — an Amount and an optional Description for anything not in your catalog. Untitled entries are recorded as "Custom Item".
A barcode scanner adds products straight to the cart. On the right, the cart shows each line with plus and minus buttons and a delete icon, then subtotal, tax and total, with a Pay button carrying the amount.
Checkout is for walk-ins. There is no client selector here, and the sale is not attached to a client record. To take payment against a specific client's bookings, open their profile and use Collect Payment — that builds one consolidated invoice from their unpaid appointments and reservations, then takes payment against it.
Tax
The rate comes from your custom tax rate if you have set one, otherwise from your state's rate, otherwise zero. Set it under Business Settings, Payment Settings, Tax Settings. At Checkout, tax applies to everything in the cart, including services and custom items.
Paying
Pressing Pay asks how the customer is paying:
- Cash — enter the amount tendered and Alaga shows the change due.
- Check — a check number is required.
- Card — the card button only appears once a payment provider is configured. What happens next depends on your provider: an inline card form, or a card reader you select and then hand to the customer.
If no provider is set up you get a "Payment Not Configured" message with a link to Payment Settings.
Tips are collected on the card reader itself, not on the Checkout screen.
There is no discount or promo-code field at Checkout.
Receipts
Alaga does not print or email a receipt from Checkout today. Emailed paper trails come from invoices — use Collect Payment on the client's profile if the customer needs one.
The cash drawer
The Checkout header has a cash drawer widget:
- Open Drawer with an opening balance
- Drop to record a safe drop mid-shift
- Close — enter your counted total and Alaga tells you whether the drawer is balanced, over, or short
Cash sales are only added to a drawer session if a drawer is open, so open it at the start of the shift.
Refunds
Refunds are issued from Business Settings, Payment Settings, Transactions. Choose a full refund, a partial amount, or a tip-only refund, pick a reason, and add an internal note. Refunds go back to the original payment method, and processing fees are refunded proportionally. A full refund puts the products back into stock automatically.
Station mode
If your front desk shares one device, switch on Station Mode under Business Settings, Devices, then activate the device with the generated code. Each staff member identifies themselves with a PIN, an identity bar shows who is currently active, and the device auto-locks after the timeout you set — so sales, notes and time entries are attributed to the right person.
