Setting up Station Mode on a shared front-desk device

Updated

On this page

Station Mode turns a shared computer or tablet at the front desk into a locked kiosk: the device stays signed in to your business, and each staff member unlocks it with a personal 4-digit PIN instead of a password.

Before you start

Every person who will use the station needs a PIN. There are two ways to set one:

  • Staff set their own. Sidebar: My Account, then the Security tab, then Set or change my PIN on the Station PIN card. Enter four digits, then enter them again to confirm.
  • An owner or manager sets it for them. Sidebar: Team & Payroll, then Team Members — open the row menu next to a team member and choose Set PIN. Use this to reset a forgotten PIN.

PINs must be unique within your business; if a PIN is already taken you are asked to pick another. Setting a new PIN replaces the old one immediately.

Registering the device

Do this part on the shared device you want to set up, or generate the code on your own computer and type it into the shared device — either works.

  1. Sidebar: Business Settings, then Devices, then the Station Mode tab.
  2. Press Generate Device Code, give the station a name such as Front Desk or Grooming Room, and press Generate Code. You get an 8-character code. Copy it now — it is shown once.
  3. On the shared device, open app.alaga.io/station-setup in the browser.
  4. Enter the code and press Activate Station. The device signs itself in as a station and lands on the dashboard behind a PIN lock.

The code keeps working until you revoke the device, so the same code can re-register that device after a browser reset. Anyone holding the code can sign a device in to your business — treat it like a password.

When you enable Station Mode, the tab also offers Also restrict what employees see outside the office. It is off by default. Turn it on if staff who sign in from home should keep their schedule but lose customer details and the time clock; every registered station counts as in the office. See Restricting what employees can do outside the office.

Day-to-day use

  • The lock screen is a keypad. Staff enter their 4-digit PIN and the station unlocks as them. There is no list of names to pick from.
  • The station bar at the top shows who is signed in. Switch hands the station to a different PIN; Lock locks it immediately.
  • The station locks itself after the auto-lock timeout set on the Station Mode tab (5 minutes unless you change it).
  • The PIN is the person. While the station is unlocked it is signed in as the person whose PIN opened it, so clock-ins, Activity Logs entries and the Booked by line on appointments and reservations are all recorded for them. Lock the station when you step away so the next entry is not recorded under your name.
  • After 10 wrong PINs in 15 minutes the station pauses PIN entry for 15 minutes. Correct PINs never count toward that limit, so switching users all day is fine.

Because the unlocked station is that person's own sign-in, they see exactly what they see from their own login: a groomer sees what a groomer can see, and an owner's PIN opens everything the owner has. Sign out on a station just locks it, so nobody's other devices are signed out, and reloading the page locks it too.

Removing a device

Back on Business Settings → Devices → Station Mode, press the trash icon next to the device in the Station Devices list and confirm Revoke. A revoked device drops back to the normal sign-in screen and its code stops working.

From the device itself, the Exit station mode link at the bottom of the lock screen does the same thing. Tap it twice — the second tap confirms.

If the station shows an empty dashboard

Make sure the app is up to date by doing a hard refresh on the shared device (Ctrl+Shift+R, or Cmd+Shift+R on a Mac), then unlock again. If it still looks wrong, revoke the device and register it with a fresh code.
