Checking a pet in and out
Updated
On this page
Open the stay from Reservations → All Reservations, or click it on the Kennel Board. The Actions card on the stay's page holds every step below.
Check-in
A Confirmed stay shows Check In in the list and on its page. Check-in is a short guided workflow.
- Press Check In. If the stay starts on a later day, Alaga asks first. Press Check In Early to go ahead.
- Review the pet. You see breed, sex, weight, age, alert tags, feeding, medications, emergency contact and vet. Tick I have reviewed and confirmed the above pet profile information is correct.
- Confirm feeding with the owner. Alaga asks, "Has the pet's feeding schedule changed?" Tick Confirmed. If the pet has no feeding times yet, set them right there.
- Press Continue to Agreements. The button stays grey until steps 2 and 3 are done.
- Agreements. If anything required is unsigned, it is listed. Press Sign on Tablet Now to have the client sign on this device, one after another. Or press Proceed Anyway to collect signatures later.
- Press Complete Check-In. The stay moves to Checked In.
Checked in by mistake? Press Undo Check-In on the stay's page.
During the stay
The stay's page has tabs for Details & Edit, Feeding & Meds, Linked Services, Products and Kennel Card.
- Linked Services lists grooms and baths tied to the stay. Their charges are added at checkout. To tie an existing appointment to a stay, open the appointment and use Link to Stay.
- Ready for pickup marks when the pet is ready to go home. A linked groom or bath marks it for you when it reaches Ready for pickup or is completed. It matters if you use a late pickup grace period — see Late pickup fees and grace periods.
Extending a stay and adding baths
When a pet stays longer, extend the stay you already have. Don't create a second boarding reservation.
- Open the stay and press Extend Stay in the Actions card. It is there until the pet is checked out.
- Pick the New Checkout Date. It must be later than the current one.
- Check the Additional nights and Additional cost, then press Extend Stay.
To add a bath or groom during the stay:
- Open the Linked Services tab.
- Press Add Service. The booking form opens already linked to this stay.
- Book the service as usual. Its charge is added to the stay's checkout.
If the stay was already paid, the extra nights and services are charged at checkout on a follow-up invoice.
Printing the kennel card
- Open the stay and go to the Kennel Card tab.
- Press Print (Preview shows it first).
- To leave things off, press Sections and untick them in Print Sections. This device remembers your choice.
To print a card for every checked-in boarder at once, go to Reservations → All Reservations and press Print All Cards. Bulk print always includes every section.
Taking payment before pickup
Clients often pay at drop-off. You can take that money without checking the pet out. See Taking payment before checkout for appointments too.
- On the stay's page, press Take payment.
- Collect the payment. The stay keeps its status.
- If the client has other stays not checked out yet, press Pay for several stays to take one payment for several dogs.
At checkout, Alaga only charges what changed since then: extra nights, a late fee, services or products added later. Those go on a follow-up invoice. You need permission to create invoices to use Take payment.
If something is added after a stay is already paid, Add charge puts it on a new invoice.
Check-out
- Press Check Out & Pay on the stay (or Check Out in the list).
- Review the summary. It adds the stay, linked services, products from the Products tab, any late fee, and tax.
- Choose how to finish:
- Pay $X — take the payment now.
- Check Out & Invoice — check the pet out now and bill later.
- Complete Checkout — shown when nothing is owed.
If the stay already has an open invoice, the payment goes against that invoice and closes it.
Tax follows your What Gets Taxed switches under Business Settings → Payment Settings. Boarding and daycare are not taxed unless you turn them on.
Late checkout fee
If the pickup is late, the summary shows a Late Checkout Fee line with the reason. Owners and managers can tick Waive fee (manager override). A stay only ever gets one late fee. See Late pickup fees and grace periods for how "late" is decided, and where to set the fee.
Cancelling
On a Confirmed or Checked In stay, press Cancel Reservation. You can type a reason; it is added to the internal notes. Linked appointments and invoices are not cancelled for you. You need the edit reservations permission.
