Booking a boarding or daycare stay

Updated

On this page

Sidebar: Reservations → New Reservation. The same New Reservation button sits at the top of the All Reservations page.

Fill in the form

  1. Pick the Reservation Type — Boarding (Overnight Stay) or Daycare (Same Day).
  2. Pick the Client, then tick one or more Pets. Each pet gets its own reservation, linked together.
  3. With two or more pets on a boarding stay, choose Keep pets together. On, they share one room. Off, each pet gets its own room.
  4. Set the Check-in Date and Check-out Date, and the times. Boarding starts at 3:00 PM in and 12:00 PM out; daycare at 8:00 AM to 6:00 PM. Change them as needed.
  5. Under room assignment, pick a capacity group and a room. Boarding needs both. The picker only offers rooms that are free for those dates. With several pets in separate rooms, you pick a room for each pet.
  6. Add any Add-on Services, such as a bath before pickup. Each one gets its own date and time.
  7. Check the Nightly Rate (or Daily Rate for daycare). It fills in for you — see "Where the price comes from" below.
  8. Add Personal Belongings (toys, blankets, the leash that must go home) and any Notes.
  9. Press Create Reservation (or Create 2 Reservations for two pets, and so on).

Warnings you may see

  • "This stay is X nights — check the dates." A very long stay is usually a typo in the year. Over 120 nights, you must tick These dates are correct before you can book.
  • A check-in date in the past. You can book a stay that already started, such as a walk-in. If check-in was more than 14 days ago, you must tick These dates are correct first.
  • Check the fit. The pet is heavier than the room or group's max weight. You can still book it.
  • Room capacity exceeded or No availability remaining for the selected dates. That room or group is full on at least one night. Pick another room or other dates. Alaga does not let anyone overbook, including staff.
  • This room already has another family's pet for those dates. A room is only shared by pets from the same household.

Where the price comes from

Alaga uses the first price it finds, in this order:

  1. The capacity group's Display price.
  2. The room's own daily rate.
  3. Your Weight Tiers, based on the pet's weight.

All of these are set in Business Settings → Pricing → Boarding & Daycare. If none apply, the form says "No rate found." A pet with its own agreed rate uses that rate instead.

With several pets, each pet's reservation is priced on its own. If a shared room has a room price, the form shows the price for the whole room.

Multi-pet discount

If you set up a multi-pet discount, the form shows Apply multi-pet discount. The highest-priced pet pays full rate. Each extra pet gets the discount. Pets with their own custom rate are not discounted again. Untick the box to skip the discount for this booking.

The discount itself is set in Business Settings → Payment Settings → Booking Policies.

Agreements

If the client has not signed an agreement you require, the form warns you. You have two choices:

  • Leave it. The stay is created as Requested, and Alaga emails the client a request to sign.
  • Tick "Waive agreements" (client will sign later). The stay is created as Confirmed.

Deposits

If deposits are on, a deposit prompt opens right after you book a single pet. It shows the deposit due and the balance due at checkout. You can skip it. The client then gets a reminder to pay.

One thing to watch: the checkout summary does not take the deposit off for you. Check what the client already paid before you take the final payment. To prepay a stay so checkout only charges what changed, use Take payment instead — see Checking a pet in and out.

Confirming a request

Stays booked online, and stays waiting on agreements, arrive as Requested.

  1. Go to Reservations → All Reservations and open the Requested tab.
  2. On the request, pick a room in Assign a kennel… if the group has rooms.
  3. Press Confirm. If agreements are still unsigned, the button reads Waive & Confirm. You need the edit reservations permission to waive.

To turn a request down, press Decline. You can add a reason. It goes into the internal notes.

Requests from the customer portal

Two switches in Business Settings → Customer Portal change what comes in:

  • Auto-confirm reservations. Requests are confirmed for you, but only in capacity groups that have no rooms. Groups with rooms always come in as Requested, because a person has to pick the room.
  • Customers choose their room type. When off, clients just pick dates. Alaga holds a space in a group, and you choose the room when you confirm.

Seeing the whole facility

The All Reservations page has tabs for Currently Boarding, Requested, Upcoming, Active & Upcoming, Timeline and Occupancy. The Kennel Board shows each room for one day. See The Kennel Board day to day.
