Getting around the calendar
Updated
On this page
Open it from Sidebar → Calendar → Facility Calendar. This is where the day is run.
Views
The view buttons sit at the top right: day, week, month and agenda.
- Day shows one column per staff member.
- Week shows one column per day, with everyone's appointments together.
- Month gives the big picture.
- Agenda is a scrolling list for the week. It works well on a phone.
The arrows and Today move you through time. In day view, the header also shows how many dogs are booked that day.
If your business does boarding or daycare, a menu at the far left switches the calendar between Grooming, Boarding and Daycare.
Jumping weeks ahead
Rebooking "same time in six weeks" is a common job, so there are shortcuts:
- Press Jump next to the date and pick how many weeks.
- Or use the +1 to +8 chips under the mini calendar on the left.
Both count from the date you are looking at, not from today. If you are on 3 October and pick +4, you land on 31 October. Hover a chip to see the date before you click. Today brings you back.
The mini calendar shows a dot on days that have appointments. You can collapse the left panel to get more room, and Alaga remembers your choice.
Which staff get a column (day view)
Day view does not show every team member. It shows:
- Everyone who has an appointment that day, and
- Everyone scheduled to work that day, even if their book is empty.
Staff who aren't scheduled and have nothing booked are hidden. So is anyone on approved time off, unless they still have appointments. A booked person on time off keeps their column with an "Off" pattern so you can see the clash.
To see everyone:
- Press the Display options button (the sliders icon, top right).
- Turn on Show idle staff (day view).
The same menu sets the Density (Compact, Normal, Spacious) and has Print day, a printable run sheet for each staff member.
Only want groomers? Go to Sidebar → Business Settings → Business Profile → Calendar and turn on Show only groomers working that day under Day View Columns. Bathers and other staff are then hidden unless they have an appointment. A person counts as a groomer only if their role is Groomer. This setting is off unless you turn it on.
An Unassigned column appears only on days that have appointments with no staff member.
If someone is still missing, check that they have working hours for that day. See Staff hours, availability and time off.
Filters
- All Staff — tick individual team members, or use Select All / Clear. Picking staff here always shows their columns.
- All Services — filter by Grooming, Bath, Training, Veterinary or Other.
- All Statuses — tick the statuses you want, or use Show All or Active Only (hides completed and no-shows).
Cancelled appointments never show on the calendar. Find them in Sidebar → Appointments → All Appointments.
Dragging to reschedule
In day and week view:
- Drag an appointment block to a new time. In day view you can also drop it in a different staff column.
- Let go. The appointment moves. In day view it is also reassigned to that person. In week view it keeps its staff member.
Dragging the bottom edge of a block changes its length in 15-minute steps.
The usual booking checks still run when you drop. If the groomer is already full, you'll be stopped or asked to confirm a double-book. You can't drop onto someone's approved time off. If Warn when outside scheduled hours is on (Business Profile → Calendar → Scheduling Guardrails), moving onto a time the person isn't scheduled asks you to confirm first.
Month and agenda views don't support dragging. Click through to the appointment instead.
Blocking time
To hold time for lunch, a meeting or prep:
- In day or week view, right-click an empty spot on the calendar (in day view, use that person's column).
- Choose Block Time.
- Check the staff member, then pick the type (Break, Lunch, Meeting, Prep / Setup, Cleanup, Personal or Other), the length, and whether it repeats weekly for a few weeks.
- Add an optional note and save.
Right-click an empty spot and choose New Appointment to book there instead. A plain click on an empty slot does the same.
Reading a block
What the colors mean depends on Color appointments by under Business Profile → Calendar → Appointment Colors:
- Status — the card color shows where the visit stands. The service color stays as a thin stripe on the left.
- Service or Service category — the color shows the service. Status shows through badges and borders.
Either way: a dashed border means unconfirmed, faded means no-show, and an orange $ chip means the visit is done but still needs checkout. A star means the client asked for that groomer. The All Statuses menu has a legend.
Click a block to open the side panel, with Details and Charges tabs and the same buttons as the full appointment page. Right-click a block for quick actions like Confirm, Check In, Undo Start, Mark No-Show, Cancel and Rebook.
The waitlist
The left panel also has a Waitlist list. Drag a waiting client onto an open slot to book them. See Using the waitlist.
Keyboard shortcuts
Shortcuts don't work while you are typing in a box.
| Key | Does |
|---|---|
| D / W / M / A | Day, week, month or agenda view |
| T | Jump to today |
| Left / Right arrow | Previous or next period |
| Shift + Left / Right arrow | One week back or forward (day view) |
| N | New appointment |
| Esc | Close the open panel or dialog |
Time and dates
The calendar uses your business's timezone, time format and first day of the week. Set them under Sidebar → Business Settings → Business Profile → Profile. Online booking times are shown in your timezone too, so a client booking from another state sees your hours.
