Recurring and standing appointments

Updated

On this page

Set the repeat while you book. This works best for regular groom clients: book a six-weekly client a year ahead in one go, and the slots are held.

Setting up a series

  1. Start a new appointment as usual. See Creating a new appointment.
  2. On the Details step, open Repeat and pick a pattern.
  3. Pick a Repeat until date. A series must have one.
  4. Check the line that says how many appointments will be made, and any conflict warning.
  5. Finish on Review and press Create N Appointments.

Repeat options

  • Every week
  • Every 2 weeks
  • Every 3 weeks
  • Every 6 weeks
  • Every month
  • Monthly on the same weekday, for example "Monthly on the 2nd Friday". You can change the week (1st, 2nd, 3rd, 4th or Last) and the day.
  • Custom interval... — any number of days from 1 to 365.

If you book several pets, each pet gets its own series.

Alternating two services

For a client who switches between two services, like a Tidy Up and a Full Groom:

  1. After picking a repeat, turn on Alternate with another service.
  2. Pick the second service and how often it comes round: every other visit, every 3rd, or every 4th.
  3. Check the list underneath. It shows which date gets which service.

Each alternate visit gets that service's price and length for this pet.

Changing one visit

Open that appointment and edit it as normal, or drag it on the calendar. Only that visit changes. This is what you want most of the time, like when a client is away one week.

Changing the whole series

Every appointment in a series has a Series button. It offers:

  • Modify recurrence schedule — change the pattern, the end date, or the alternate service. Before you save, it tells you how many upcoming visits will be updated, cancelled and added.
  • Confirm appointments… — on a pending visit. Choose This appointment only, This and future appointments, or Entire series.
  • Set back to pending… — the same three choices. Needs the Undo status changes permission.
  • Cancel future appointments — cancels every later visit but keeps this one.
  • Cancel this & all future — cancels this visit and every later one.

Cancelling asks for a reason, the same as a single cancellation. Past visits that were completed, cancelled or no-shows are never touched.

What Modify recurrence schedule does to upcoming visits

It works from the visit you opened it on, and only changes the visits after that one. New dates take that visit's time of day.

  • Visits that still fit the new schedule are updated, not replaced. They take the new time, and the alternate service if that visit's turn changed. Their groomer, notes and add-ons don't change.
  • Changes you made to one visit are kept. If you changed one visit's groomer, time, price, service or notes, that change stays. For example, a visit you moved to 2 pm stays at 2 pm.
  • Visits that no longer fit are cancelled, not deleted. They stay on the client's history with the reason "series changed".
  • New dates are added when the schedule now runs longer or more often.
  • Some visits are never touched: checked in, completed, no-show, cancelled by hand, invoiced, paid, or with a deposit. The schedule doesn't add another visit on the same day either.

Ending a series

Use Series → Cancel future appointments, or Modify recurrence schedule with an earlier end date. Past visits stay on record, so a client who stops coming doesn't vanish from last year's reports.

Good to know

  • Later visits in a new series start as Confirmed, whatever status you picked for the first one. Use Series → Set back to pending… if you want them unconfirmed.
  • Changing the groomer for all future visits has no single button. Edit each future visit, or cancel the rest of the series and book a new one with the new groomer.
  • Prices are saved when the series is made. Raising your prices doesn't change visits already booked, and Modify recurrence schedule only changes the price of a visit that switches service. Edit the price on each visit.
  • Check the calendar after making a long series. A six-weekly booking a year out will land on a holiday or a closed day sooner or later. Move the ones that clash.
  • Reminders go out for each visit, so the client gets the normal reminder before every appointment.
