Tracking vaccinations and expiry alerts
Updated
On this page
Alaga tracks five vaccination expiry dates on each pet.
Entering the dates
- Go to Sidebar → Pets → All Pets and open the pet.
- Press Edit Pet.
- Open the Health tab.
- Under Vaccination Expiry Dates, enter the dates for:
- Rabies
- Bordetella
- DHPP
- Lepto (optional)
- FVRCP (Cats) (optional)
- Save.
Rabies, Bordetella and DHPP are the core three. A pet is only complete when all three have a date.
Uploading a vaccination certificate on the Documents tab does not fill in these dates. Enter them here too. Pet parents cannot enter vaccination dates from the portal.
How the badge is worked out
| Badge | Means |
|---|---|
| Valid | Every core vaccine has a date more than 30 days away |
| Expiring Soon | Something expires today or in the next 30 days |
| Expired | Something expired before today |
| Missing | A core vaccine has no date at all |
When more than one applies, the worst one wins: Expired beats Expiring Soon, which beats Missing, which beats Valid. Lepto and FVRCP count when you enter them, but leaving them blank does not make a pet Missing.
The reminder email
Once a day, Alaga emails clients about vaccinations that need attention.
- It covers anything expiring in the next 30 days, and anything that expired up to 90 days ago. Older lapses are left alone.
- The email goes to the pet's owner only. Your team is not copied.
- The same pet and vaccine is not emailed again within 30 days, so a client gets a monthly nudge, not a daily one.
- It is skipped when the pet is archived or deceased, the client has no email address, or vaccination alerts are turned off for that client.
The email lists each vaccine, its expiry date and how many days are left. It shows "Expired" for anything already past.
To turn alerts off for one client: open the client's profile, stay on Overview, and switch off Vaccination expiry alerts in the notification preferences card. Clients can also turn it off themselves in the portal.
To change the wording, or turn the email off for everyone: go to Sidebar → Business Settings → Customer Notifications, open the Email tab, and find Vaccination Alert under Transactional Emails.
Seeing the whole picture
Go to Sidebar → Reports and open Vaccination Compliance in the Clients & Pets category. It lists every pet with its status, so you can work through a list instead of one pet at a time.
Vaccinations are also a filter when you build a marketing audience. That is how you send a "time to update Bella's shots" campaign.
Blocking online booking
You choose what happens when a pet with missing or expired records books online. Owners and managers set this.
- Go to Sidebar → Business Settings → Business Profile.
- Open the Hours tab and find Proof of Vaccination.
- There are two sections: Grooming & other appointments and Boarding & daycare. For each one:
- Turn on the reminder to show customers a note asking them to bring proof from their vet.
- Also turn on Block online booking until compliant to stop them booking online until the records are up to date. They are told which vaccine is the problem and asked to send records or contact you.
- Press Save Settings.
Blocking is off by default. It only works when the reminder above it is also on. For boarding and daycare, every pet on the booking must be up to date.
Your team can always book from the dashboard, whatever these settings say.
