Payroll & Time Tracking

My time card, clocking in and time off

Updated

On this page

This article is for staff. It covers your own hours and time off. Managers approving hours should read Time tracking and running payroll.

Clocking in

The time clock is the clock icon in the bar at the top of every page. It says Clocked Out, Clocked In, On Break or On Lunch.

  1. Click the clock icon. The Time Clock box opens.
  2. Optional: type a Job Code, such as grooming or front desk.
  3. Press Clock In.

You only see the clock if you are on the team list as a staff member.

At a shared station: unlock the station with your 4-digit PIN first. The station is then signed in as you, so the clock records your hours. Lock the station when you walk away. See Setting up Station Mode.

"The time clock is only available in the office": your business only allows clocking in on office computers or the office network. Clock in at work, or ask your manager.

Breaks

While clocked in, open the clock:

  1. Choose Break or Lunch under Break Type.
  2. Press Start.
  3. When you are back, press End Break or End Lunch.

Your break time is taken off your hours automatically when you clock out.

Clocking out

Open the clock and press Clock Out. Your shift is sent to your manager for approval. Only approved shifts are paid.

Forgot to clock out, or forgot to clock in? You cannot fix it yourself. Ask an owner or manager. They can clock you out, edit the times, or add the shift for you.

My Time Card

Open the clock and press View My Time Card at the bottom.

The Time Card tab shows:

  • A period picker: Current Week, Last Week, Current Month or All Time
  • Total Hours, Break Time, Shifts and Avg per Shift
  • Every shift with clock in, clock out, break, hours, job code and status

A No break tag means the shift was over 6 hours with no break logged.

If you see a Submit Timecard button, some finished shifts are still drafts. Press it to send them for approval.

The Pay History tab lists each payroll run you were in. Open one to see your regular and overtime hours, base pay, overtime, commission, tips, adjustments, gross pay, deductions and net pay. Alaga does not take out taxes. Your paycheck may differ.

Requesting time off

Sidebar: Calendar, then My Time Off.

  1. Press Request Time Off.
  2. Pick the Start Date and End Date. You cannot pick a day in the past.
  3. Choose the Request Type: PTO (Paid Time Off) or Sick Time.
  4. Add a Reason (optional).
  5. Press Submit Request.

Your owner and managers get a notification. You get one when it is approved or denied.

The page has three tabs:

  • Balances — your PTO days and sick days, how many are used and how many remain. "No PTO allocation configured" means your manager has not set your yearly days yet.
  • Pending — requests waiting for approval. Press Cancel to withdraw one.
  • History — past requests and their decisions.

You can ask for more days than you have left. Your manager sees a warning and decides.

Once time off is approved, it shows on the team schedule, and anyone booking you for those days is stopped with a warning. Only someone allowed to override scheduling conflicts can book over it.

If something is missing

  • No clock in the top bar, or "No Employee Record Found": you are not set up as a staff member at this business. Ask the owner.
  • My Time Off is not in the sidebar: same reason.
