Inviting team members and setting permissions

Inviting someone
Press Invite Staff on the Active Staff Members card and fill in:
- Email Address
- Job Title — optional, such as Groomer or Kennel Attendant
- Role — Employee or Manager
Invitations expire after 7 days. Pending invitations can be resent, cancelled, or accepted manually if the person never receives the email.
If the Invite Staff button is greyed out you have reached your plan's staff limit.
What each role can do
- Business owner — everything, including pricing, business settings, payroll and permissions. Owners can promote another owner to co-owner.
- Manager — full access to clients, pets, appointments, reservations, the calendar, products, services, reports, marketing and messaging. Can invite staff and manage schedules. Can see payroll but not manage it or see pay rates. Sees settings but cannot change them. Cannot issue refunds.
- Employee — the day job: view clients and their contact details, view pets, create and edit appointments, view the calendar, view reservations and check pets in, view services, and use messaging.
Two more role templates ship ready to use:
- Front desk — everything an employee has, plus editing clients and pets, cancelling and overriding appointments, creating reservations, and taking payments.
- Kennel tech — a read-mostly set focused on reservations and check-ins.
Custom roles
Business owners can open Roles and Permissions and build a role template of their own. Permissions are grouped into clients and pets, appointments, reservations and boarding, calendar, invoicing and payments, products and inventory, services, reports, staff and payroll, marketing, settings and messaging.
Some granular permissions are worth knowing about:
- View contact info — without it, phone numbers and emails are masked.
- Edit own appointments only — a groomer can change their own bookings but not everyone else's.
- Set appointment pricing — who may override a price.
- Override scheduling conflicts — who may double-book.
- Undo status changes — who may reopen a completed appointment.
System role templates can be edited but not deleted. Deleting a custom template drops the people using it back to their base role's permissions.
Editing one person
The row menu on the Team Members table lets you edit a profile, edit their schedule, edit their skills, set a station PIN, change their role, or remove them. The role editor also lets you override individual permissions for that person alone, without building a whole new template.
